Make the next step clear to the customer and to the team responsible for delivering it.

The customer experiences one business

A traveler may see an advertisement, read a property page, submit a question, speak with reservations and then arrive for a stay. Internally, those steps may be handled by different people or systems. To the traveler, it is one continuous experience.

A mismatch at any handoff can create confusion. The ad may promise a feature the operations team cannot provide. The enquiry may omit a date that the reservations team needs. The guest may arrive without instructions that someone assumed had been sent.

Define what information and responsibility move next

For each handoff, agree on what must be passed along, who owns the next action and how the status is recorded. Keep it proportional to the business. A shared checklist or reliable tracker may be enough; not every team needs a complex platform.

Use clear fields and plain status labels. Record the source of an enquiry when known, the customer’s request, the response and the next action. Protect personal information and limit access to people who need it to serve the customer.

Close the loop after delivery

Operations staff often hear questions and objections that marketing never sees. Create a simple way for them to share recurring patterns. Marketing can then clarify the website, adjust an offer or stop making an inaccurate claim.

Likewise, track whether enquiries from a campaign become appropriate bookings and can be served well. A connected system helps the business improve both demand generation and service delivery. The point of the handoff is not more administration. It is fewer dropped details and a more consistent customer experience.
